1. JOB TITLE: Medical Office Assistant Part Time
2. REPORTS DIRECTLY TO: Family Planning Director
GENERAL DESCRIPTION:
This position requires a person with basic knowledge of all aspects of clinic operations. Serves as receptionist as well as assisting with clinic as needed.
TYPICAL WORK HOURS:
Tuesday, Wednesday and Thursday 7am- 4:30pm (30 minute lunch)
*This is subject to change based on staffing/clinic needs. Weekend or evening hours as needed.
PAY: $15.00 per hour, 27 hours per week
SPECIFIC RESPONSIBILITIES:
1. Checks in patients who arrive for appointments; prepares patient electronic medical record for daily clinics; checks patients out after exam: provide supplies and collect fees.
2. Responsible for accounts receivable system. Daily account entry into the computer and prepares the safe deposit at the end of each clinic session.
3. Labels and sells supplies to patients.
4. Responsible for unlocking/locking clinic doors.
5. Makes sure appropriate forms for federal and grant reporting are completed accurately.
6. Answers phones, makes appointments and screens calls to send to appropriate
staff or takes messages.
7. Responsible for the maintenance of patient file system. Creates charts and files
patient charts and/or scans documents into EHR system.
8. Maintains computer inventory systems in conjunction with Clinic Manager/Program Director. Assists with monthly inventory count, as needed.
9. Works with the Nurse Practitioner in proper notification/follow-up of abnormal lab results. Tracks all incoming and outgoing lab information on the computer.
10. Collects insurance and Medicaid information from patients and verifies coverage.
11. Performs any additional duties as delegated by supervisor.
12. Responsible for tracking and providing follow up phone calls to patients due for visits or no showed to their scheduled visit.
13. Responsible for lobby cleanliness and organization.
14. Mailing past due bills to patients quarterly.
15. Taking payments over the phone and setting up payment plans for patients as needed.7. Perform the following duties as needed during clinic sessions:
A. Interview and record Medical and Social history of patients in EHR.
B. Provide patient education on birth control methods, STDs and preconception counseling.
C. Make appropriate referrals.
D. Perform limited lab work (BP, UA, Hematocrit, Height, Weight, etc...) and
when on lab duty, clean rooms between patients and at the end of clinic
session (including cleaning and sterilizing of speculums).
E. Prepare patient for exam.
F. Fill out reporting forms, patient consents and determine patient fees
16. Does pregnancy tests for patients requesting this service. Give results and make
appropriate referrals in a caring, nondirective, nonjudgmental manner, following
Title X guidelines.
KNOWLEDGE, SKILLS AND ABILITY
1. Knowledge of Family Planning theory, methods and practices.
2. Experience in medical records keeping, electronic health records and medical terminology.
3. Working knowledge of computer systems.
4. Knowledge of clerical and basic front desk skills.
5. Experience in private and commercial health insurance billing.
6. Possession of adequate transportation for the performance of duties.
